Privacy Policy

This privacy policy is issued by Bitman Pty Ltd (ABN 35 638 129 718) trading as TerraStrike ("TerraStrike", "we", "us" or "our"). The business name "Terrastrike" is registered with the Australian Securities and Investments Commission. We are based in Perth, Western Australia, and supply exploration drilling products to customers across Australia.

We supply goods to businesses, such as drilling contractors, mining companies and exploration companies. We do not sell to consumers, and we do not sell goods online. Our website, terrastrike.com.au, provides product information and a "Check availability" enquiry form.

This policy explains how we collect, hold, use and disclose personal information. It is written to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We are committed to handling personal information in line with the APPs.

This policy applies to our website and to the personal information we handle in the ordinary course of our business, including quoting, supplying goods and invoicing.

Enquiry form. When you submit the "Check availability" form on our website, we collect the information you enter, which may include:

1. (a)your name, company, phone number and email address;
2. (b)the product you need, the quantity, the delivery location and the date you need it by; and
3. (c)any technical notes and any file you choose to attach. Please do not include personal information in attachments beyond what is needed for your enquiry.

Business contact details. In the course of trade we collect the business contact details of the people we deal with at customer, supplier and freight companies, such as name, position, work email, work phone number and site or delivery address.

Correspondence. We keep the emails, quotations, orders, invoices and other correspondence exchanged with you.

Website analytics. Our website does not currently use analytics tools or advertising cookies, and we do not build profiles of individuals. Our hosting provider keeps standard server logs. We will update this policy to name any analytics tool before one is introduced. If we use Google Search Console, it provides us with aggregated search data only and does not identify individual visitors.

We do not collect sensitive information (such as health information or information about race, religion or political opinions) and ask that you do not send it to us.

We collect personal information directly from you when you submit our enquiry form, email or phone us, request a quotation, place an order, or deal with us at meetings, site visits or industry events.

We may also receive your business contact details from your colleagues, from your company, or from publicly available sources such as your company website or industry directories.

Where it is lawful and practical, you may deal with us anonymously or under a pseudonym, for example when asking a general product question. We cannot quote, supply or invoice without identifying the business we are dealing with.

We use personal information to:

1. (a)respond to your enquiries and check product availability;
2. (b)prepare and send quotations;
3. (c)accept and fulfil orders, arrange freight and deliver goods;
4. (d)issue invoices, process payments and manage credit accounts;
5. (e)provide product and safety information, and meet our safety, tax and other regulatory obligations; and
6. (f)maintain our business records and improve our products and website.

We will only use or disclose personal information for the purpose for which it was collected, for a related purpose you would reasonably expect, with your consent, or as otherwise required or permitted by law.

Product updates. With your consent, or where otherwise permitted by the Privacy Act and the Spam Act 2003 (Cth), we may send you product updates and news about TerraStrike. Every commercial electronic message we send will identify us and include a simple way to unsubscribe. You can also opt out at any time by emailing info@terrastrike.com.au.

We share personal information only where needed to run our business, and only with:

1. (a)Netlify, which hosts our website and stores enquiry form submissions;
2. (b)Microsoft, which provides the Microsoft 365 service that hosts our email and business documents;
3. (c)freight carriers and couriers, so they can deliver goods to you and contact you about delivery;
4. (d)our accountants, bookkeepers, lawyers, insurers, IT providers and other professional advisers;
5. (e)credit reporting bodies and trade references, where you apply for a credit account and consent to a credit check; and
6. (f)government agencies, regulators, courts or other parties where required or authorised by law.

We do not sell, rent or trade personal information.

Our website host (Netlify) and our email and document platform (Microsoft 365) are provided by companies that may store or process data on servers outside Australia, including in the United States. This means that personal information you send us through the website or by email may be stored or processed in the United States.

We take reasonable steps to ensure that these providers handle personal information in a way that is consistent with the APPs, including by relying on their published privacy and security commitments and using the security settings available to us. By submitting information through our website or by email, you acknowledge that it may be stored or processed overseas as described in this section.

Apart from the providers described above, we do not otherwise disclose personal information to overseas recipients.

We hold personal information electronically in our Microsoft 365 environment, in the Netlify form storage, and in our accounting and business systems. We keep very little paper.

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps include access controls and passwords, multi-factor authentication on our business accounts, keeping systems updated, and limiting access to the people who need it.

We keep quotations, orders, invoices and related correspondence for at least seven years to meet our tax and record-keeping obligations. We keep enquiries that do not lead to a sale for five years and then delete or de-identify them. We take reasonable steps to destroy or de-identify personal information once we no longer need it for any purpose permitted by law.

No method of transmission over the internet or of electronic storage is completely secure. If you are concerned about sending information through our website, you are welcome to phone us instead.

You may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Please write to info@terrastrike.com.au.

We will respond within a reasonable time, normally within 30 days. We may need to verify your identity before giving access. We do not charge for making a request, but we may charge a reasonable fee for the cost of retrieving and supplying information. If we refuse a request, we will tell you why in writing and how you can complain.

If you believe we have handled your personal information in breach of the APPs or this policy, please contact us at info@terrastrike.com.au with the details. We will acknowledge your complaint promptly, investigate it, and aim to respond within 30 days.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.

If we become aware of a data breach involving personal information that is likely to result in serious harm to any individual, we will act in accordance with the Notifiable Data Breaches scheme under the Privacy Act. This includes assessing the breach, taking steps to contain it, and notifying affected individuals and the OAIC where required.

We may update this policy from time to time, for example if we change our website tools, analytics or service providers. The current version will always be published at terrastrike.com.au, with the effective date shown at the top. Significant changes will be noted on the website.
